The Rosé Rules: A Guide to Sips & Saddles

 Welcome to Sips & Saddles- Here’s everything you need to know to arrive prepared, look polished, and pour like a pro. 

How to Get There:

Look for the dedicated Sips & Saddles entrance on the right just before the main park gate. Event signage and staff will guide you to the vendor unloading zone, followed by parking.  See Sips & Saddles - Vendor Parking

Event Timeline

  • 11:00 AM – Vendor load-in begins (wine + food)
  • 12:45 PM – All vendors set and ready
  • 1:00 PM – VIP entry + live music begins
  • 1:30 PM – General admission entry
  • 2:00 PM – Player procession + National Anthem + Sabrage
  • 2:15 PM – First polo match (approx. 1 hour)
  • 3:15–3:30 PM – Divot stomp 
  • 3:30 PM – Second polo match (approx. 1 hour)
  • 5:00 PM – Event concludes

Things You Need to Know:

  • Setup starts at 11am, the event kicks off at 1pm and wraps up at 5:00pm. NOTE:  If you need a longer time to setup let us know and we'll get you in earlier.
  • Age Matters: All attendees are 21+.
  • Licensing: The Will Rogers Polo Club is a 501c3 and will handle the liquor license. 

 

What the Beverage Partners Provide:

  • Two/Three cases of your finest Rosé, White, Sparkling varietals, or other spirits and NA beverages. 
  • Portion Control: Stick to the 2 ounce pour rule. 
  • Table Flair: Add some pizzazz to your table- think upscale, maybe flowers No pop up tents,  branded umbrellas, or backdrops.  
  • Social Media: Promote the event on your social channels. We will repost!

What We Provide:

  • Fancy Glassware: Branded glasses is provided for each person  
  • Tables: A six-foot banquet table with linen and a shared umbrella. 
  • Chill Out: A shared chilling tub and ice, because no one likes warm wine.  
  • Signage Tabletop signs with your company logo.  
  • (1) Parking Spot per vendor
  • Support Squad: An event staff member will assist with ice, upon request. 
  • Trash receptacles. We’re here to keep it clean, folks.

Promotional Perks:

  • You can offer a code of  WINE10 on eventbrite to any of your followers
  • Here's some IG formatted ARTWORK to share 

Vendor Vows:

  • Your winery's setup must fit on a 6’ table we'll provide the table & linen
  • Serve each guest a 2 ounce tasting. Think of it as a tease, not a pour—leave them wanting more! 
  • Be Ready: Ensure your setup is complete by 12:45pm. Please no last minute scrambles! 
  • No Direct Sales: Beverages cannot be sold directly to patrons. 
  • Vendor must provide their own serving tools, ice bucket for table, supplies, etc. 
  • Staffing: Have one staff member present at all times. 
  • Presentation is Key: Keep your area neat and tidy during the event, please remove all boxes, trash, personal belongings, etc 
  • Clean Up: Ensure your area is spotless before you leave. We like to leave things better than we found them. 
  • Load and Unload: Use the designated area for setting up and breaking down. 
  • Promote: Spread the word about the event on your platforms.
  • Liability: Sips & Saddles staff and sponsors aren’t responsible for any loss, theft, or injury. 
  • Indemnity: Vendor agrees to hold the event staff harmless from any legal claims arising from participation.
